If you want to know how to improve business English, the honest answer is that you probably do not need more grammar lessons. Most people in Pakistan who search for this already read emails, follow meetings and explain their own job in English. What is missing is speed and confidence: speaking without rehearsing every sentence first, writing an email without copying an old one, disagreeing in a meeting instead of staying quiet. That is fixed by practising the specific situations of office life, every day, for a few weeks, and by correcting a small set of predictable mistakes.

This guide gives you the method, the mistakes worth fixing first, and a 30 day plan. Everything here comes from our free Business English & Communication course, which you can follow alongside it.

Start by finding which of the four skills is weak

Business English is four skills, and almost nobody is even across them. Listening means following a fast meeting or client call. Speaking means updates, questions and disagreeing. Reading covers emails, policies and reports. Writing covers emails, chat messages and short reports. The sign of a weak skill is avoidance, such as nodding along in a meeting and asking a colleague later what was decided.

A very common pattern here is strong reading, decent writing, and weaker speaking and listening. School exams rewarded reading and writing, while spoken English was practised in only a few settings. That is normal and it is fixable, but it means most of your practice time should go to speaking and listening, not to another grammar book.

Before you start, record a two minute "Tell me about yourself" on your phone and do not listen to it yet. You will compare it with a second recording at the end of the plan.

Plain English beats fancy English

At work, clear English wins. "We need to decide by Friday" beats "It is imperative that a decision be reached at the earliest". Plain does not mean casual: short sentences, the point first, one clear request at the end.

Fix the Urdu speaker slips first

Urdu and Punjabi speakers tend to make a small, predictable set of English mistakes. Because the set is small, fixing it makes you sound polished quickly.

Common slipNatural English
I am having two brothers.I have two brothers.
I am working here since 2021.I have been working here since 2021.
Where you are going?Where are you going?
He told that he is late.He said that he was late.
Myself Ali from accounts.I am Ali from accounts.
Please send the informations. Please send the information.

Articles are the other big one, because Urdu has none. A working rule: "a" or "an" for one thing mentioned for the first time, "the" for a specific thing both of you know about, and nothing for general plurals ("Printers are expensive").

Pronunciation works the same way. You do not need to lose your accent, only fix the two or three sounds that change meaning: V and W (vest and west), TH turning into T or D (thin and tin), and the short I against the long EE (ship and sheep) are the usual suspects.

Replace the outdated email phrases

A lot of office English in South Asia comes from old letter writing templates. These phrases are understood locally but confuse or amuse international readers, and they make a new client think you copied the email.

Outdated or regionalModern replacement
Please do the needful.Say exactly what: "Could you please process the refund?"
Kindly revert. Please reply. / Let me know.
PFAI have attached the file.
Prepone the meeting.Move the meeting earlier.
Waiting for your positive response.I look forward to your reply.

"Revert" means to return to an earlier state, so "please revert" can puzzle a reader outside the region, and "waiting for your positive response" sounds like pressure to say yes.

A good business email has a clear subject, the point in the first sentence, and a next step the reader cannot miss.

How to improve business English speaking: practise the situations, not the language

Speaking improves when you rehearse the exact moments that make you nervous. Own one phrase for each.

  • Not understanding something. Instead of "I didn't understand", say what you did get: "I understood the deadline, but I'm not clear on who approves the final draft."
  • A bad phone line. "Sorry, you broke up for a second. Could you repeat the last part?"
  • Disagreeing. Soft but clear: "I see the point, but I'm worried about the timeline. Could we look at another option?"
  • Ending a meeting. Say the decisions and the owners aloud: who does what, by when. Most meetings end vaguely; be the one who sums up.
  • An angry customer. Use LEAP: Listen without interrupting, Empathise, Apologise for the experience, then Problem solve by saying what you will do and when.
  • Interviews. Tell work stories with the STAR method: Situation, Task, Action, Result, kept short.

Two solo techniques do most of the work and cost nothing. Shadowing means playing a 30 to 60 second clip of a fluent speaker and speaking along with it, copying their stress, pauses and rhythm, not just the words. Self recording means listening back to your own voice and noting one thing to fix. BBC Learning English and TED Talks are useful sources because they have transcripts.

An AI chat assistant can roleplay a hiring manager or an angry customer. Check its corrections, and never paste private company data into it.

A 30 day plan you can follow on your own

This is the plan the course ends with, condensed. Each day takes about 20 to 30 minutes. If you miss a day, continue from where you stopped instead of restarting.

WeekFocusExample tasks
1Clear speech and conversationList your ten common slips, shadow a clip, introduce yourself in 30 seconds
2Calls and meetingsRecord a call opening, write three polite disagreements, summarise a meeting with owners and dates
3WritingRewrite an old email point first, write a status update under 150 words, an apology with a fix
4High stakes speakingA three minute presentation, three STAR stories, a mock interview, then record day 30 and compare with day 0

Keep a log, a notebook or a phone note, of every error you catch. The log is what stops the same mistake coming back.

Mistakes that slow people down

  • Collecting resources instead of using them. One listening source and one partner beat ten unused apps.
  • Practising only reading and writing because they feel safer, when the gap is almost always speaking.
  • Translating in your head. That is where Urdu sentence patterns sneak in. Learn whole phrases for common situations instead.
  • Waiting until you feel ready. Confidence comes after practice, not before it.

What the free course covers, chapter by chapter

The Business English & Communication course is pitched at beginner to intermediate learners, runs as a six week course, and has 12 chapters of four topics each, written for learners in Pakistan and South Asia.

  1. Foundations of Confident Workplace English: plain English, Urdu speaker grammar slips, a word bank.
  2. Pronunciation and Clarity: tricky sounds, stress, pace and fillers.
  3. Everyday Workplace Conversation: introductions, small talk, asking for help, instructions.
  4. Phone and Video Calls: opening and closing calls, bad lines, video etiquette, voice notes.
  5. Meetings: agendas, disagreeing politely, summing up action points.
  6. Presentations: structure, signposting, describing charts and numbers, nerves.
  7. Emails and Work Messages: shape, tone, outdated phrases, WhatsApp, Slack and Teams.
  8. Reports and Longer Writing: status updates, minutes, complaints and apologies, proofreading.
  9. Negotiation and Persuasion: offers and counteroffers, saying no, confirming agreements.
  10. Job Interviews in English: "tell me about yourself", STAR answers, salary and notice period.
  11. Customer Service and Cross-Cultural Communication: angry customers, directness and time across cultures.
  12. Your 30-Day Practice Plan: routine, shadowing, free tools, the full plan.

Each topic ends with a short quiz you must pass to unlock the next, and there is a 90 second reading time on each topic before its quiz opens, so you cannot click straight through.

How the free certificate works

The certificate is issued only after you pass the final exam, not for reaching the last page. The final is 50 questions in 60 minutes, and you need 50 out of 100 to pass. You get one timed attempt. If it does not go well, you get one retake 30 days later, with the questions and options reshuffled. Leaving the exam page submits it, so sit it when you have an uninterrupted hour.

Be realistic about what it proves. It shows you passed our exam on a given date. It does not prove fluency; an interviewer judges that in the first two minutes. We wrote more about this in are free online certificates worth anything.

Who this is for, and what to pair it with

It suits graduates heading into their first office job, people already working who freeze in meetings or calls, and freelancers writing to foreign clients. If you are applying for your first role, read our guide on applying for a software house internship in Pakistan. If you work with clients abroad, the Freelancing on Upwork and Fiverr course is a natural next step, and if you run meetings and deadlines, Project Management: Agile, Scrum and PMP Basics uses the same communication skills every day.

It is not a substitute for an IELTS preparation course, and it will not teach English from zero. It assumes you can already read a simple email.

Where to start today
